How to Schedule an Email in Outlook

Sometimes, we need to compose emails ahead of time but send them later, whether it’s to adhere to different time zones, avoid distractions, or ensure a timely delivery. Thankfully, Outlook has features in place to schedule emails ahead of time easily. Whether you’re using Outlook.com, the free, browser version of Outlook, or the paid version of Outlook that comes with Microsoft 365, we’ll teach you how to use this nifty feature and help you become a productivity powerhouse.

Scheduling Emails in Outlook.com

  1. Log in to your Outlook.com account.
  2. Click on the “New mail” button at the top left corner to compose a new email.
  3. Once your email is ready, click the arrow next to the Send button at the top left corner.
  4. From the drop-down menu, select “Schedule send”.
  5. A scheduling dialog box will appear, offering various pre-set time slots for sending the email.
  6. Alternatively, you can choose a custom date and time by clicking on “Custom time”.
  7. After selecting the desired time, click “Send” to schedule the email.

After this, the email will be moved to the “Scheduled” folder, and Outlook.com will send it automatically at the specified time.

Scheduling Emails in Outlook for Microsoft 365

  1. Launch Outlook.
  2.  Click on the “New Email” button at the top left to create a new email.
  3. Once your email is ready, click on the small arrow in the “Tags” box in the email composition window.
  4. In the new window, check the box that says “Do not deliver before”.
  5. Set the date and time to schedule the email.
  6. Click “Close” to close the window.
  7. Click on “Send” to send the email.

The email will be stored in your Outbox folder until the scheduled time, after which Outlook will send it automatically.

Can I Modify Or Cancel A Scheduled Email?

Yes, you can modify or cancel a scheduled email before the designated time. Simply locate the email in the “Scheduled” folder and make the necessary changes or delete the email.

Will The Recipients Know That The Email Was Scheduled?

No, recipients will not be notified that the email was scheduled unless you mention it in the body of the email. The scheduled email will appear in their inbox as if it was sent at the specified time.

Can I Schedule Emails For Different Time Zones?

Yes, you can schedule emails for different time zones. When scheduling an email, set the desired time based on the recipient’s time zone or the time zone you want the email to be delivered in.
